Exhibiting at CAMWS 2019

The Classical Association of the Middle West and South (CAMWS) will hold its 115th Annual Meeting April 3-6, 2019 in Lincoln, Nebraska at The Cornhusker at the invitation of the University of Nebraska. All sessions, including the book exhibits, will be held at the The Cornhusker except those on Friday afternoon, which will take place on the campus of the University of Nebraska. No book exhibits will be at the University.

If you wish to have a display at this meeting, please fill out an exhibitor reservation form on-line at https://camws.org/membership/exhibitor.php. Payment for any fees may be made via PayPal. You may also remit a check, accompanied by a copy of your on-line reservation, to the CAMWS office. Exhibit space for reservations made after Friday, February 15, 2019 cannot be guaranteed. 

There will be a $60 fee to cover the set-up, use, and tear-down of a table for the duration of the conference; each exhibitor may request up to five tables (= $300). Hotel is provids a 3’x8’ exhibitor table with 2 chairs and electrical service (Extension cord with power strip). 

The fee for one table (attended or unattended) will be waived for any non-profit Classics organization but anyone attending such a table is expected to use this Meeting Registration Form to register as a regular member. While we cannot guarantee that there will be enough space for all the tables requested, we will do our best to accommodate. As soon as we know how many exhibitors plan to come, we will decide on the most efficient way to arrange the tables and will confirm the number with you.

Each commercial exhibitor will receive one complimentary registration for the meeting. Please note that this exhibitor registration does not include a ticket to the Friday evening banquet, which can be purchased on the exhibitor reservation form. Registration for additional exhibitors is $80.00 each with banquet optional. The cost of additional registration plus a banquet ticket is $160.

Additional Exhibiting Needs:
An additional 110v line, if needed, would be $25.00 per line. 

If an exhibitor needs 220v line, the charge is $250 (one time fee).  Will need to know what “phase” of power would be needed.
The Hotel provides complimentary wireless internet in all of the meeting spaces.  If the exhibitor needs a hard-wired Ethernet line, those are available for $120.00 per line (one time fee).

Please have all packages labelled with the conference name.  The hotel also asks that if there are multiple boxes/packages, that they should be numbered (i.e. 1 of 4, 2 of 4, etc.).  Please include any special handling instructions on the shipping label/manifest.

All received packages will be held in a storage area until the exhibitors request delivery.

**PLEASE NOTE, THE HOTEL DOES NOT HAVE A LOADING DOCK.  Large shipments, pallets, etc. will require either a truck with a lift gate, or a ramp.  The Hotel does have pallet jacks to move items around once they are off-loaded.

For shipping items out, the exhibitor/company are responsible for making all arrangements with the shipping company, including shipping labels and calls to arrange pickup.  The hotel staff would be happy to take all properly packaged and labelled items to the designated pick-up area at the conclusion of the event.
